Company Brain synthesizes email, WhatsApp, and meetings onto the right Frontline records so companies stay queryable under your permissions.

Company Brain is how Frontline turns a pile of conversations into a company you can actually ask about. Mail, WhatsApp, and meetings do not stay as loose threads. They attach to the right person, roll up to the company, and get distilled into a picture the team, and Max, can query.

It is not a second CRM. It is the synthesis layer on the model you already built. If James Harrington is a Contact at Harrington Family Office, Company Brain is why opening the company feels current, and why asking “what is going on with Harrington?” does not mean searching three inboxes.

From a message to the right record

When email or WhatsApp is connected, Frontline matches the other side to a person. Email uses the address. WhatsApp uses the number. If that person is Added, the thread becomes activity on their record. If the email domain is a work domain, Frontline can find or create the company and link them, the same auto-link you saw in the data model lesson.

A WhatsApp group can land on more than one person, each participant who is in the CRM. A meeting that was recorded can write a meeting activity onto the people who were there. Calendar sync as a channel is not part of this setup. The conversations you already capture still feed the brain.

Nothing useful happens for Pending review or Ignored. Company Brain does not invent a client from a personal chat you have not approved. Add James first. Then the history has a home.

The company timeline inherits communication from the people linked to it. You do not copy James’s email onto Harrington Family Office. Last interaction on the company is the freshest moment across those people. Connection strength is computed from that relationship, not typed in.

Synthesis, not just storage

Storage is the timeline. Synthesis is what Company Brain adds on top.

Frontline reads new activity and updates a short professional summary on the person and on the company. It keeps memories: decisions, agreements, preferences, risks, and other facts that should survive the next thread. It pulls key topics, sentiment, and engagement on people. On companies it looks for stakeholders, mission, and how strong the connection is. Firmographics, when they exist, sit next to that.

This is why Max can say a household went quiet after a demo, or that a beneficiary change is still open. He is not rereading every email at ask time. He is reading the record plus what has already been distilled, under the same permissions you have.

Consolidation runs in the background. You do not build a “last emailed” field or a parallel notes database. If you do, you split the brain.

Queryable, with governance

Once companies are linked and synthesized, they are queryable. You can open Harrington Family Office and see people, deals, tickets, and the story. You can ask Max. You can ask from the CLI or from an agent you bring yourself. The answer is the same object, not a shadow index.

Permissions still apply. Email and WhatsApp on the timeline are share-gated. If your group cannot see an advisor’s WhatsApp, Company Brain will not hand you that transcript because you asked in chat. The server redacts first, in the app, through Max, and through the API. Admins and owners can be granted a wider view. Everyone else sees what their group and sharing allow.

That is the governance half. Sync decides what is allowed in. Groups and sharing decide who may read it. Company Brain organizes what was allowed in, onto the records you already permissioned. It does not bypass Contact sync, ignore rules, or Internal.

What good looks like

James is Added, not pending. His work email linked Harrington Family Office. The WhatsApp group with two family members is on the people who belong in the book, not on your school chat. The recorded review is on his timeline. The company summary mentions the mandate and the beneficiary ticket. Sales can ask Max about Harrington and get that picture. Support sees the ticket and the note, not every private thread, if that is how you set groups.

If the brain feels empty, fix sync and review first. If it feels leaky, fix groups and sharing. Do not add another object named “Insights.”
